VP Project Management Corporate Secretarial

Function

Your Role:

  • Ensure uniformity in processes & team structures and management in Luxembourg and other European locations.
  • You will manage and monitor the timing and quality of the team’s client deliverables.
  • Interact with senior management and manage overall relationships for multiple clients.
  • Work towards enhancing current servicing levels in order to deliver beyond client expectations.
  • You will establish and manage plans for new client setup and transitions.
  • You will plan the team resources and ensure an effective training and development program is in place for the Legal/CoSec staff.
  • You will coordinate with Accounting group, Tax group, and Investor Relations groups internally, as well as liaise with auditors, lawyers, notaries and other professional external parties.
  • Be responsible for budget preparation & manage costs within the department.

Profile

  • You have a University degree in corporate, notarial or fiscal law, or a similar academic background.
  • You have at least 8 years of relevant industry experience and (proven) managerial experience.
  • You are commercial, service-minded, have hands-on and dynamic attitude plus international mind-set.
  • You are an excellent communicator, both verbal and written (English with French preferred).
  • You can work effectively in a team and autonomously as well as liaising with other departments within a large organization.
  • Native English speaker - Fluent in English with exceptional written and verbal communication skills.
  • Project Involvement - Demonstrated experience leading or actively participating in internal projects, and understanding of cross-functional team collaboration.
  • Management skills - Proven leadership experience with a track record of managing teams and stakeholders.
  • Ability to mentor, guide, and motivate team members to achieve objectives.
  • Strategic thinking with a focus on operational efficiency.
  • Expert in drafting and reviewing minutes - Skilled in preparing accurate, detailed, and comprehensive minutes for meetings.
  • Experience ensuring all documentation aligns with corporate standards and regulatory requirements
  • Experience in corporate governance or board-level interaction (a plus).
